Important: Personal Safety Protocol While Using AI
We do not hand our house keys to someone we just met. We do not give our banking password to a new colleague on their first day. We do not sign contracts without reading them. Yet, every single day, millions of people are typing their deepest professional secrets, personal anxieties, business strategies, client data, medical symptoms and financial plans into AI chat boxes, without pausing for even a moment to think about what they are actually doing.
This edition of All About AI is not here to frighten you away from AI. AI is remarkable. It is genuinely useful, genuinely powerful and when used wisely, genuinely transformative. But power without protocol is risk. And right now, most of us are operating without a protocol. That changes today.
WHAT YOU NEED TO UNDERSTAND FIRST
Before you can build a personal safety protocol, you need a clear-eyed understanding of what AI tools actually are and what they are not. AI tools are software systems trained on enormous amounts of data. They are designed to predict, generate and respond. They are not thinking. They are not feeling. They are not loyal to you. They are also not malicious toward you. They are at their core very sophisticated pattern-matching and completion systems. This means a few important things:
First, the AI tool you are using likely belongs to a company with its own terms of service, data retention policies, training pipelines and commercial interests. What you type may depending on the tool and your settings be used, stored, reviewed by humans or incorporated into future training. Read the terms. Not all of them, but the parts about data. This is not optional.
Second, AI tools can be confidently wrong. This is called hallucination and it is not a bug being phased out, it is a structural characteristic of how these models work. They do not know what they do not know. They fill gaps with plausible-sounding content. To an AI, sounding right and being right are not the same thing.
Third, AI tools learn from what you bring to them within a session and sometimes beyond. The context you provide shapes the output you receive. This means what you put in genuinely matters, in more ways than one. With this foundation clear, let us build your protocol.
THE DOs (PRACTICES THAT PROTECT YOU AND SERVE YOU WELL)
DO read the privacy settings of every AI tool you use, even briefly. Most tools now offer options to opt out of training data usage. Turn these on. It takes two minutes and the protection it gives you is not trivial.
DO anonymize sensitive information before entering it into any AI system.
If you are asking an AI to help you draft a client proposal, replace the actual client name, company name and specific project details with placeholders. Use
Client A instead of the real name. Use Project X instead of the actual initiative. Get the structural help you need without handing over identifiable
information.
DO treat AI outputs as first drafts, not final decisions. Whatever an AI writes, generates, calculates or recommends should be your starting point not your endpoint. Verify. Cross-reference. Apply your own expertise and judgment before anything goes out the door or gets acted upon.
DO keep a healthy record of what you are using AI for within your organization. If you are a team lead, manager or business owner, maintain at least a basic log of which AI tools your team is using and for what purpose. Invisible AI usage inside organizations is a compliance and security problem waiting to happen.
DO check the output for accuracy whenever the stakes are even slightly high. Drafting a casual email fine, a quick check is enough. Generating legal language, financial summaries, medical information or anything that will be presented as fact verify line by line from independent sources.
DO use AI for ideation, drafting, structuring and brainstorming with confidence.
These are its strongest suits. Generating options, organizing thoughts, writing
first versions, checking grammar, summarizing long documents, these are relatively low-risk, high-value uses that your protocol should make room for.
DO set internal personal rules about categories of information you will never
enter into AI tools. Write this down. Make it concrete. Know your own red lines
before you are in a rushed moment and tempted to cut corners.
DO stay curious about how your specific AI tools work. Not at an engineering level, but at a user awareness level. Does this tool store conversation history by default? Does it have a web browsing mode that pulls in live data? Does it have integrations with your email or calendar? Know what you are working with.
DO separate your personal AI use from your professional AI use where possible. Use different accounts or different tools for personal queries versus work queries. This reduces cross-contamination of data contexts and keeps your professional information cleaner.
DO build the habit of asking: Should I be asking an AI this at all? Not every question is appropriate for an AI tool. Some queries belong with a human professional. A lawyer. A doctor. A financial advisor. A trusted colleague. AI is not a replacement for human judgment in high-stakes personal decisions.
THE DON’Ts (WHERE THE REAL RISKS LIVE)
DON’T paste real personal data into AI tools without thinking.
Names, addresses, phone numbers, email IDs, ID numbers, passport details,
financial account information, health records none of this should go into
a general-purpose AI tool. Not probably. Not just this once. Not it is
only a draft. Draw the line hard here.
DON’T share confidential organizational information without explicit clearance. Before you type anything into an AI tool at work, ask yourself would I be
comfortable if my organization’s security team could see exactly what I just
submitted? If the answer is no, do not submit it. Strategic plans, M&A
conversations, personnel decisions, unreleased product details, client
contracts, these belong behind your organization’s firewall, not in a
third-party AI interface.
DON’T trust AI for medical, legal or financial advice without professional
verification. AI tools can be a useful starting point for understanding a topic in these domains but only a starting point. The consequences of acting on incorrect
AI-generated medical, legal or financial guidance can be severe and sometimes
irreversible. Always bring a licensed professional into any decision that matters.
DON’T use AI-generated content as a substitute for your own expertise. If you are a professional in any field your reputation is built on your judgment, not the AI’s output. Handing over AI-generated work as your own, without review and meaningful contribution, erodes your own capabilities over time and puts your credibility at risk if the content turns out to be wrong.
DON’T ignore AI errors because correcting them feels like extra work. If you notice the AI has made a factual error, a logical leap or a problematic assumption, fix it. Do not let incorrect AI output go out into the world with your name on it because you were tired or in a hurry.
DON’T assume the AI understands context the way a human colleague does. AI does not know your organization’s culture, your relationship with the recipient of an email, the history behind a project or the nuance of a sensitive situation, unless you explicitly tell it. Outputs generated without this context can be technically correct but situationally disastrous.
DON’T use AI automation for irreversible high-stakes actions without a human
checkpoint. Automated emails sent to thousands of clients. Auto-generated contract terms. AI-drafted communications in a crisis situation. If the action cannot be undone easily, a human must review before execution. Full stop.
DON’T become dependent on AI for tasks you need to own as skills. Writing, critical analysis, research, communication, decision-making - these are human competencies that require active maintenance. If AI does all of your thinking, the thinking muscle atrophies. Use AI to augment your capabilities, not to replace them.
DON’T click on links, install tools or grant permissions recommended by an AI.
AI tools can be manipulated by malicious inputs to recommend harmful actions
through a technique called prompt injection. If an AI ever recommends you
install something, click a link or grant a new permission treat that with
the same skepticism you would treat an unsolicited email from a stranger.
DON’T assume that because something is popular or widely used, it is safe.
Popularity signals utility, not security. Evaluate every AI tool you adopt
on its own merits, its own privacy policy and its own data practices.
THE GREY AREAS (WHERE YOU CAN EXTEND REASONABLE BENEFIT OF DOUBT)
Not everything is black and white. There are genuine grey zones in AI usage where reasonable caution is appropriate but hard refusal is probably excessive. The benefit of the doubt can be thoughtfully extended to following grey areas.
GREY AREA: AI TOOLS INTEGRATED INTO YOUR ENTERPRISE SOFTWARE
Your CRM now has an AI assistant. Your email client can auto-draft replies. Your project management tool suggests next steps. These embedded AI tools have typically been vetted by your IT and security teams, operate within enterprise data agreements and are subject to your organization’s governance policies. The risk profile here is meaningfully lower than using a public consumer AI tool.
Benefit of doubt: Reasonable. Use these tools with awareness but without excessive friction. Do still verify outputs and maintain your judgment.
GREY AREA: AI AUTOMATION FOR ROUTINE LOW-STAKES TASKS
Scheduling, meeting summaries, formatting documents, categorizing emails, generating templated reports, automating these routine tasks involves real but relatively limited risk. The data involved is mostly administrative, the consequences of an error are manageable and the efficiency gains are real.
Benefit of doubt: Reasonable with oversight. Build in periodic human reviewof automated outputs even for routine tasks. A monthly check is not paranoia; it is good practice.
GREY AREA: USING AI TO RESEARCH SENSITIVE TOPICS FOR PROFESSIONAL PURPOSES
A doctor researching drug interactions.
A journalist investigating a topic.
A therapist understanding a condition.
A researcher exploring a sensitive domain.
Using AI to gather and organize information for professional purposes, even on sensitive subjects is legitimate when the output is being filtered through professional expertise before any action is taken.
Benefit of doubt: Reasonable when your professional judgment remains in the driver’s seat. The AI is a research assistant here, not the decision-maker.
GREY AREA: AI-GENERATED CONTENT IN CREATIVE AND MARKETING CONTEXTS
Using AI to brainstorm campaign ideas, generate creative variations, draft social copy or build out content calendars sits in a relatively lower-risk zone especially when your team reviews and refines the output before anything is published.
Benefit of doubt: Reasonable with editorial oversight. Your brand voice and factual accuracy still need a human to verify before anything goes live.
GREY AREA: SHARING GENERAL ORGANIZATIONAL CONTEXT (NOT SPECIFIC DATA)
I work at a mid-size financial services firm and need help thinking througha client communication framework - is a very different input than Here is our actual client database. Help me analyze it. General context without identifiable data is a reasonable way to get relevant AI assistance while staying inside safe parameters.
Benefit of doubt: Reasonable. Stay at the level of categories and structures, not names and specifics.
GREY AREA: AI-ASSISTED LEARNING AND SKILL DEVELOPMENT
Using AI to explain concepts, walk through case studies, practice present in arguments, simulate conversations or test your own understanding of a domain is genuinely valuable and relatively low-risk. The AI here is functioning as a learning partner.
Benefit of doubt: Reasonable and encouraged. Just remember to cross-check factual claims the AI makes with authoritative sources when the topic matters.
BUILDING YOUR PERSONAL SAFETY PROTOCOL
A personal safety protocol is not a lengthy policy document. It is a short, memorable set of personal commitments that you can actually follow in the middle of a busy workday. Adapt it to fit your specific role, industry and risk profile.
BEFORE YOU START A SESSION:
Ask yourself, what am I about to share? Does it contain real names, real data, confidential information? If yes, pause and anonymize first.
WHILE YOU ARE WORKING:
Treat every AI response as a draft from a brilliant but error-prone intern. Useful. Promising. Needs checking. Not final.
BEFORE ANYTHING GOES OUT:
If AI generated it and it is going to a client, a customer, a colleague or the public, a human reviewed it. No exceptions.
WEEKLY:
Take five minutes to notice what you have been using AI for this week. Are the use cases appropriate? Is the data hygiene holding? Any habits forming that you want to consciously redirect?
MONTHLY:
Review the privacy settings of the AI tools you use regularly. Check if anything in the terms of service or features has changed. The tools are updating constantly. Your settings might reset or new defaults might appear. Stay current.
WHEN IN DOUBT:
Ask a human. Talk to your IT team, your manager, your legal counsel or a trusted peer. AI is a tool. It should not be making judgment calls that require human accountability.
THE RESPONSIBILITY THAT BELONGS TO ALL OF US
Governments are still writing the regulations. Organizations are still developing the policies. Industry standards are still taking shape. The academic research is still being published, debated and revised. The AI companies themselves are still figuring out what they have built and what it means. AI is evolving faster than anything else on this planet right now. Faster than any regulation can follow. Faster than any organization policy can keep pace with. Faster than any training curriculum can be updated. The gap between how fast these tools are changing and how prepared the average person is to use them safely is not closing, if anything, it is widening. This means the responsibility, for now, sits largely with us as individuals.
Your personal safety protocol cannot wait for your organization to hand you one. It cannot wait for a law to require it. It cannot wait for a training session that may or may not ever come. You need to build it. For yourself. For your professional integrity. For the clients, colleagues and communities whose data you are the custodian of.
For your organization, whose reputation and security you carry every time you open an AI tool and start typing. The good news is that this is not hard. It is not about fear. It is about the same kind of intelligent care and deliberate practice that makes a professional excellent at anything. Know your tools. Understand your risks. Set your rules. Practice them until they are habits. Be the person in the room who uses AI powerfully and wisely, because those two things are not in conflict. They are, in fact, exactly what the moment requires.
